Controller and contact
Keldmere AI Services Ltd is the controller for personal information received through website-related enquiries. Our registered office is 27 Wrenfold Mews, Ancoats, Manchester, M4 6LN, United Kingdom. Privacy questions and rights requests should be sent to [email protected]. Please identify the information or interaction concerned without sending unnecessary identity documents.
Information collected
If you email us, we receive your email address, the name and other information you provide, the message content and ordinary email metadata. Business enquiries may include your organisation, role and proposed project requirements. Please do not include confidential datasets, credentials or sensitive personal information in an initial enquiry.
The contact form prepares an email draft in your browser. Its contents are not submitted to a website form endpoint or stored by the site’s draft-building script. If you open the draft in an email application, that application handles the draft under its own arrangements. We receive it only if you send it.
Hosting infrastructure may process technical request data such as IP addresses, requested files, timestamps, browser information and error records for delivery and security. This site is not configured for audience analytics or advertising profiles.
Purposes and lawful bases
We use enquiry information to respond, clarify requirements and take steps requested before entering a contract. We may also rely on legitimate interests to manage business correspondence, protect systems and maintain proportionate records, after considering the impact on individuals. Legal obligations may require some records to be retained. Where consent is required for a separate activity, it will be requested specifically and can be withdrawn.
The applicable UK framework includes the UK GDPR, the Data Protection Act 2018 as amended and relevant electronic communications rules. We do not use website enquiries to make solely automated decisions with legal or similarly significant effects.
Recipients and international handling
Hosting, email and IT support providers may process information on our behalf under appropriate contractual arrangements. Professional advisers or public authorities may receive information where necessary for advice, legal obligations or the protection of legal rights. We do not sell enquiry information or disclose it for cross-context behavioural advertising.
If a provider handles personal information outside the UK, the transfer must have an applicable lawful basis and safeguards, such as adequacy arrangements or approved contractual protections. You may contact us for information about recipients and safeguards relevant to your correspondence.
Retention and security
Information is retained only for as long as needed for its purpose, including relevant legal, accounting and dispute requirements. An enquiry that does not lead to work should not be kept indefinitely. Retention decisions consider the status of the conversation, the sensitivity of the material and whether a shorter record would be sufficient. Contract-related records may need longer retention than an unanswered general question.
Access restrictions and proportionate technical controls are used to protect information. Email is not an appropriate route for passwords, production datasets or material requiring a dedicated secure transfer arrangement.
Your rights and complaints
Depending on the circumstances, you may request access, correction, erasure, restriction or portability, and object to processing based on legitimate interests. Where consent is the basis, you may withdraw it without affecting earlier lawful processing. We may need proportionate information to establish identity before acting.
Where the EU GDPR applies, relevant EU rights and supervisory-authority complaint routes also apply. Where the California Consumer Privacy Act, as amended, applies, eligible residents may have rights to know, access, correct and delete information, and to opt out of sale or sharing. Rights depend on the law’s scope and applicable exceptions; exercising them will not result in unlawful discrimination.
You may complain to the UK Information Commissioner’s Office or another competent authority. For browser storage, see the cookie policy. Material changes to our practices will be reflected in this policy.
